iPad app use problem...? Sorry for the treatise

So let me try to explain this.
At work I have a PC desktop, an iPad 1, and an iPhone 4S to work with.

So here's what I do; I go around each night and do (x) number of inspections in a building and then give copies of these inspections to the half dozen people that expressed a need to see them.
I used to do this by hand on paper thus generating anywhere up to 30 pages a night of hard copies that I and everyone else would have to file somewhere.

Last year I requested an iPad (because we have them and they're cheap) in an attempt to save a couple of small forests each year from the copy machine.
It has worked, but it is ... clunky.

So now, what I am doing.
I have created an Excel file that has my inspection form where I put the person's name, date, location at the top, and then fill in the boxes in the form with numbers relating to the quality of work below.
I then have them initial the form thus verifying that they saw it
Send copies to interested parties.

I am using my desktop to create the original file blank form, dropbox to get the form to my iPad and then Quickoffice to actually fill the form while I'm doing my inspections.
Here's where I run into trouble.
To have them initial the page I was just having them tap their initials in the keypad, which is not very secure because I could fake that. So I asked our tech people and they suggested either turn the file into a PDF and have them sign that in Adobe Reader or use DocuSign Ink.
Sounds great! Doesn't work.
Works ONLY IF I take the original blank directly from the dropbox; use Create PDF and then open the blank in Adobe Reader.
Problem there is that then it is no longer a fill-able form and numbers and such end up haphazardly placed and sloppy looking.
If I fill in the form in quickoffice and then either save as PDF or save as xlsx and convert from dropbox the file ends up corrupted and create PDF cannot convert the file or Adobe reader can't open it. Same thing when attempting to open it in DocuSign Ink. File corrupted, unable to convert to PDF.

Suggestions? Questions? and again, sorry

Why not start with pdf on your desktop. So on your desktop, take your excel and use pdfCreator, select your editable fields. Then just transfer the pdf to your ipad.

Stuck in traffic and on cell so ill be brief.
While not exactly labeled as such this can easily be accomplished the way you are doing it via versioning.

DB logs every change and tracks them back for free for 30 data (beyond that you have to buy packrat)

WSE, I'm trying it. Unfortunately I don't know the program well enough to make it do what I want. At least not easily.
Didn't have PDF creator on my desktop, so dl'd free version.

notgreg; huh? sorry if I sound stupid but I have no idea what you mean.

To put it very short at a file system level saving a file is similar to deleting the file and writing a new version of the file with the changes that were applied.

Dropbox has an undelete feature which is somewhat more advanced than "undelete" basically it saves versions of your files - stamped by what user id and if I remember correctly what machine they were on when they made the change.

So for example you have a file named excel1, you make the initial saves on your pc and it says "grumpy saved file at 11:00am from grumpystation1" then 2 hours later you would see your id or whatever login id you have it shared with on ipad make a change changed the file at 1:00pm.. repeat day after day. It is very very basic auditing but really it sounds like it is good enough - it gives you all changes with time stamps and user id (and i think machine name) and it is not editable once it is done. You dont have to tell the other people using the ipad this is how you are auditng it but I imagine it is good enough for a simple easy solution.

Ok, I see what you're saying.
But that doesn't really solve the problem. That just sets me back one step, to before the problem. Then I will still run into the same issue when I go to move forward again.

Perhaps I do not understand the problem. It doesn't seem acrobat would do any more than that.
